The Office Manager:

 

Reception: Priority #1 is to open the office in the morning and answer the phones. The Office Manager is the face of Mekanism and maintains a presence in the office, receiving guests and deliveries, and answering the main phone line throughout each business day.

 

Office Appearance, IT and Kitchen Organization & Inventory: The Office Manager is responsible for keeping the office organized, clean, and the kitchen well stocked. We have an average of 45 employees in house at all times, and more than that in and out. The Office Manager should take an active role in keeping up the appearance of our office. This also means working with the President, CCO and the building contacts on any new projects. The Office Manager is also responsible for managing the general office supply, IT equipment, kitchen/food budget and being a liaison with property management.

 

People Support: The Office Manager is to fulfill executive assistant tasks for company partners and other Executives as needed. This includes managing calendars, booking travel, scheduling meetings in and out of the office, making reservations, ordering gifts, working with other location office managers, doing timesheets, getting lunch for internal or client meetings and whatever else may arise.

 

Scheduling: As Mekanism has many projects running at any one time and is largely a project-based agency, the Office Manager must be aware of our many works in progress. Managing calendars for our meeting rooms and the ‘out of the office’ calendar is an integral part of the Office Manager’s role. This includes being aware of changing needs and communicating with all levels of staff to keep everyone’s schedules running smoothly.

 

Social Events: The Office Manager manages a few social events that happen throughout the year, including but not limited to our annual holiday party, employee birthday celebrations, and other office outings.  This will also include working with the Mekanism Social Committee, an internal team of very dedicated social planners. The office manager should also maintain the Mek culture, and proactively drive communication that brings people together and creates a sense of community. Examples of this include: consistent Thurs emails about Friday’s lunch, notifications of clients in the office or after work drinks. 

 

New Hires: Assisting in logistics for onboarding new hires to MEK, coordinating with IT Directors to have equipment set, updating office directories and preparing new hires desk, and being the welcoming face of Mekanism. 

 

Qualifications:

  • A confident and engaging people person
  • Strong organization and planning skills
  • Experience in an office assistant/admin role; phone skills a major plus
  • An eye for reducing clutter and keeping the overall office looking great
  • Calm and tactful under pressure
  • Professionalism, poise, and diplomacy to take on difficult issues
  • Discretion about private and confidential matters
  • Event/party planning experience a plus
  • Problem solver who is eager to help out and doesn’t mind random requests

 

Salary: $60,000 - $65,000
